Job Description

Scope of Role:

Horseware, the leading global manufacturer of horse and rider clothing, is seeking to recruit an experienced, enthusiastic and motivated experienced HR professional for the position of HR & Executive Assistant, based in our HQ in Dundalk.  This is a fantastic opportunity to work with an internationally renowned and award-winning business.  The successful candidate will support the HR Manager with Employee Relations and support the HR team with end to end HR processes. They will also be the key point of contact for the Executive Team. They will deliver excellent support which will assist with the delivery of the Horseware Strategy.



Human Resources:

  • Providing procedural / policy guidance on employee relations cases.
  • Provide Employee Relations and Employment Law Advice to Management.
  • Support updates on core documents as required (policies, procedures etc).
  • Support the Disciplinary & Grievance processes
  • Supporting HR team with administration throughout the employee lifecycle including but not limited to; recruitment & selection, induction & onboarding, training & development, leaver documentation, learning and development administration.
  • Support user of T&A/HRM system
  • Produce brand compliant communication including proposals, presentations and report documentation using Microsoft suite of products Inc. Word, PowerPoint and Excel for HR Team to relevant internal stakeholders up to and including Board level.
  • Supporting the HR team by providing HR analytics using the available data sources; new starters, leavers, over-time, agency spend, turnover rates, etc.
  • Co-ordinate the identification of training and development needs across the Company and ensure delivery of the appropriate training & development solutions.
  • Support the existing manager in the HR team as required.


Executive Assistant:

  • Providing ongoing support to CEO, and Executive Team as required.
  • Produce brand compliant proposals, presentations and report documentation using Microsoft suite of products Inc. Word, PowerPoint and Excel.
  • Produce and maintain a schedule of meetings/conference calls. Ensure company standards are met/maintained on all correspondence using Horseware Branding Assist with general ad-hoc projects as and when required.
  • Efficient diary management to ensure a controlled and manageable schedule of meetings
  • Coordinate all domestic and international travel for The Executive team including the preparation of travel itineraries.
  • Complete travel Visa applications and general administration e.g. filing, letters, scanning, etc. and maintenance of files.
  • Manage paper and electronic filing systems ensuring all relevant information is available as required.
  • Processing confidential and sensitive information with good judgement and tact.
  • Scheduling and organising internal and external meetings (& appointments) ensuring correct meeting guidelines are followed and ensuring all necessary requirements are met e.g. meeting venue, equipment, presentations, prepare agendas etc.
  • Handling all incoming calls and queries appropriately, determine their priority and re-direct if appropriate on behalf of the CEO.
  • Arrange and manage the annual schedule of Board meetings, the development of all materials including meeting minutes and ensure timely distribution.
  • Maintain & ensure efficient systems for administrative records and personnel files.
  • Ad-hoc duties as required by the CEO/Executive team.


Experience & Skills Required

  • Minimum of 3+ years’ experience as an Executive Assistant /PA to a senior business leader within a professional environment.
  • A HR / Business qualification or equivalent professional knowledge gained through 5 + years’ experience working as a HR Administrator.
  • Knowledge and experience in Employment Law and Disciplinary procedures essential.
  • Experience as an Executive Assistant /PA to a senior business leader within a professional environment is essential
  • Strong computer skills, particularly with Microsoft Office Suite, including Outlook, Word, Excel & PowerPoint
  • Excellent communication and interpersonal skills including telephone technique
  • High degree of accuracy.
  • Ability to prioritise, to manage own workflow, use own initiative and be self-directed.
  • Resilience - ability to work under pressure while maintaining quality and standard of work
  • Team player – ability to engage with team and to provide support/flexibility.
